Administration Assistant - Ministerial Liaison

CSIRO are seeking an Administration Assistant – Ministerial Liaison to support the Stakeholder Engagement teams with a dual focus of ensuring CSIRO fulfils its obligations as a Commonwealth Agency and CSIRO’s engagement across the Federal Government and the Parliament is maintained.

In this role you will be challenged by operating in a busy environment, requiring management and prioritisation of multiple tasks of varying levels of complexity and urgency. You will work in a rewarding but pressurised environment, in particularly when parliament is sitting, so a track record of delivering on priorities in this type of environment is essential. This role reports to the Manager, Ministerial Liaison Office.

Your duties will include:

  • Provide practical support to members of the Stakeholder Engagement team as required.
  • Monitor and follow up on issues and correspondence including Ministerial and Senate Estimates correspondence, ensuring all actions are taken in accordance with timelines and standards required.  Escalate to other members of the team as necessary.
  • Coordinate internal and external meetings or other events, including booking rooms, resources, travel, transport, equipment and catering.
  • Manage administrative arrangements relating to parliamentary engagements including Science for Breakfast, Parliamentary Inquiries, Science Meets Parliament, and meetings with parliamentarians. 
  • Maintain electronic document management systems in accordance with CSIRO’s record management standards for the Stakeholder Engagement team.
  • Maintain CSIRO’s engagement register to capture organisational interactions with members of Parliament.
  • Support the Executive Manager and Managers of Government Relations and Ministerial Liaison with administrative tasks, coordination and other duties as required.

Location: Black Mountain, ACT
Salary:  AU$64K – AU$80k plus up to 15.4% superannuation

To be considered you will need:

  • Well-developed interpersonal and communication skills, with the ability to maintain a high degree of confidentiality, judgement and discretion.  reflected and confidentiality when required.
  • Demonstrated proficiency in Microsoft Office applications including Word, Excel, Access, PowerPoint, Outlook, Project; and in using HPRM and SAP, as well as the ability to learn other systems quickly.
  • Flexibility and ability to work effectively in a complex and dynamic environment, to adapt quickly and proactively manage and re-prioritise multiple tasks to deliver results in a complex organisation.

Eligibility

To be appointed to this position you must be an Australian/New Zealand Citizen or an Australian Permanent Resident.
The successful applicant will be required to obtain and provide a National Police Check or equivalent.
