Technology Program - Project Coordinator

THE ROLE

BS&T are responsible for all software related business analysis, business solutions, in-house software development, telephony, IT services and infrastructure. We deliver business as usual activities and innovation driven initiatives that provide efficiencies to the broader organisation. As the Project Coordinator, you will report to the Director, Technology Refresh Program.

DHA is undertaking a significant Technology Refresh program with a focus on ensuring fit for purpose technology across all business areas.  The Project Coordinator provides administrative and project coordination support for the Director to deliver initiatives including a Customer Relationship Management (CRM) implementation, Enterprise Asset Management product enhancement, data initiatives and a suite of projects supporting digital workplace and cyber security.

To be successful in this role, you will take a leading role in providing implementation support and administration. Your ability to meet deadlines and effectively manage work priorities across multiple projects will be complimented by your ability to collaborate and positively engage with stakeholders. In addition, you will be responsible for preparing agendas and undertaking a secretariat function for IT project steering committees.

Our ideal candidate will have:

  • Proven experience in both providing high level administrative support to IT or other technical projects and project management skills
  • Excellent communication and inter-personal skills to establish and maintain productive and trusted working relationships with business stakeholders through the provision of sound advice and support
  • Previous experience developing project documentation for complex IT projects and business communications and managing stakeholder expectations
  • Organisational and analytical skills, including the ability to establish and improve administrative processes to prioritise workloads, meet deadlines and manage competing requirements
  • Secretariat experience, including preparing agendas, presentations and taking minutes for IT or other technical project steering committees.
  • Strong problem solving and decision-making skills based on sound judgement, expertise and knowledge.

OPERATING ENVIRONMENT

This is a full-time position. DHA’s core business hours are between 8.30am and 5.00pm, Monday to Friday. DHA operates under flexible working hours and staff may be required to work outside core business hours at times.

Note: This position is non-ongoing for 12 months with the option to extend.

MAIN DUTIES

  • Working under limited direction, support the implementation of BS&T’s infrastructure and business transformation projects by assisting the ICT Project Managers and the IT Program Manager to develop project documentation and communications.
  • Manage moderately complex IT projects from end to end, involving scheduling of resources, project reporting and documentation, and managing project risk.
  • Proactively manage stakeholder expectations and ensure project implementations meet customer needs, particularly communication and training requirements, by proactively engaging with stakeholders and communicating effectively.
  • Assist the Program Manager with the creation of regular program reports to the Executive and various IT Steering Committees. Including ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project.
  • Provide secretariat support to projects, including preparing agendas, presentation materials and recording and distributing minutes.
  • Responsible for coordinating competing requests and demands, setting priorities and managing the workflow for immediate work area.
